Role Overview
As an Executive Assistant, you will provide high-level administrative and operational support to our executive leadership team, acting as a trusted point of coordination across the business. Based at our HQ, you'll work closely with cross-functional teams in a HYBRID environment to protect leadership time, keep priorities moving, and drive operational excellence within our organization.
Responsibilities
- Manage complex calendars, scheduling, and meeting logistics for executive leadership, resolving conflicts and prioritising against business needs.
- Coordinate internal and external meetings, including agenda preparation, materials, minutes, and follow-up on action items.
- Handle travel arrangements end to end, including bookings, visas, itineraries, and expense claims.
- Serve as the first point of contact for executives, screening and routing correspondence, calls, and requests with sound judgement.
- Prepare and format presentations, reports, memos, and board or investor materials.
- Support Board and management meeting cycles, including pack preparation, distribution, and record keeping.
- Manage office administration, including supplies, vendor coordination, facilities requests, and visitor hosting.
- Coordinate company events, team offsites, and leadership meetings.
- Handle confidential documents and sensitive information with complete discretion.
- Track and follow up on cross-functional deliverables on behalf of leadership to ensure deadlines are met.
Must have requirements
- Proven experience as an Executive Assistant, Personal Assistant, or in a senior administrative role supporting C-level or senior executives.
- Exceptional organisational and time management skills, with the ability to manage competing priorities under pressure.
- Strong proficiency in Microsoft Office and Google Workspace, particularly calendar, slides, and spreadsheets.
- Demonstrated discretion and sound judgement when handling confidential information.
- Strong written and verbal communication skills, with a professional and polished manner.
- Ability to work independently, anticipate needs, and take initiative with minimal direction.
- Outstanding interpersonal abilities and comfort interacting with senior stakeholders, partners, and regulators.
Nice to have requirements
- Experience supporting leadership in a startup, insurance, or financial services environment.
- Exposure to Board or investor relations support and governance documentation.
- Familiarity with productivity and workflow tools such as Notion, Slack, Asana, or similar platforms.
- Experience coordinating with government entities or handling regulatory and licensing paperwork.
- Basic experience with procurement, invoicing, or expense management systems.
- Arabic and English fluency.
